CalSAWS Privacy and Security Notice

This web portal and all associated digital platforms and communications (including Microsoft Teams meetings, recordings, and transcriptions) are intended for official CalSAWS business use only. Access is restricted to authorized CalSAWS personnel.

Monitoring and Consent

By accessing or using this system, you acknowledge that:

• Any information transmitted through this system, including documents, chat, video, and audio, may be intercepted, recorded, read, copied, or disclosed by and to authorized personnel for official CalSAWS and government purposes, including criminal investigations.
• Unauthorized access or misuse of this system is prohibited and may subject violators to criminal, civil, or administrative action.
• Use of this system constitutes your consent to monitoring and data handling as described.

Recording, Transcription, and AI Tools

CalSAWS may use transcription or recording features for official purposes. However, the use of artificial intelligence tools (including AI assistants, bots, or automated transcription or analysis services) is prohibited during CalSAWS meetings without prior authorization, in accordance with the CalSAWS Artificial Intelligence Policy.

This does not apply to ADA-approved assistive technologies.

Data Protection

CalSAWS takes data privacy seriously. We use secure systems, encryption, and access controls to protect all communications and stored data, in line with organizational and legal requirements.
